How Does our Nanny Placement Process Work?

It takes three to six weeks for most placements, from first call to first day. Searches for newborn specialists, traveling nannies with unusual languages, or special needs roles can take eight to twelve weeks.

When you call, a recruiter spends around an hour on the phone. We ask about your children’s ages, personalities, schools, dietary needs and many other things so we can get a clear picture of what you actually need. We discuss whether you need a live-in nanny or someone who only visits when their shifts start.

We will probably ask a few awkward questions too.

We once placed a nanny with a family who hadn’t told us their child was autistic, worried it would scare candidates off.

The nanny realized straight away. We replaced her quickly with someone who had specialist experience, and that family is still with us, but it’s important to tell us as much as you can about the role.

How we find your shortlist

We then search our database of 9,300+ vetted nanny candidates, which comes from over 50,300+ vetted profiles across all roles.

We built our own applicant tracking system in 2020 so we could filter our database to find the right candidate for each role.

We filter our searches by things like by live-in availability, ability to travel, language combinations, special needs experience, pet allergies, and visa eligibility.

You will normally be given three candidates, sometimes one if we think we’ve found the perfect match.

What Does a Private Nanny Actually Do in a UHNW Household?

In high-net-worth households a nanny works with tutors, drivers, housekeepers, and chefs.

They can run playdates and after-school activities, pack the kids for travel, keep their wardrobe and rooms in order, and keep an eye on their development.

If you’ve got other staff in the home, your nanny needs to know how to work with them.

Laurine Mallet, who worked for years as a private nanny before founding the agency: “When I was a nanny, I’d say to the housekeeper, ‘The little one had an accident in her bed, would you mind changing it for me while I take her to painting class?’

And the next day, ‘Don’t clean the kitchen, I’m going to cook for the little ones, I’ll clean up myself afterwards.’

You need to think cooperatively, otherwise you’re going to have a lot of conflicts.”

For high-net-worth placements, discretion is part of the job. Laurine on her own approach to gossip as a nanny:

“Every time, I said, ‘It’s not my business. I don’t want to know anything about it.’ Because obviously my boss would like me to answer this way. I completely don’t care about my boss’s life. It won’t change mine.”

How Do You Know You're Hiring the Right Nanny?

Laurine Mallet on the most common agency mistake:

“An agency can make the big mistake of not checking all the references, or just checking once and saying it’s fine, while maybe the two previous ones are really bad.”

We do reference checks differently to this.  We make three reference calls minimum with previous employers, by phone. For candidates who had only had one long placement before, we go further back and check non-childcare references if they have them.

We test discretion a lot in interviews. Laurine says she is always trying to test how discrete someone really is with her interview questions. She asks something too personal, then sees what the response is.

Laurine on what we listen for:

“I want to know their life from the beginning. I ask, ‘Can you explain your education? What kind of hobbies do you have? What was your first job, even if it’s not in household staff?’ The whole journey tells you a lot about the person.”

What Should you Budget for a Nanny?

Private nanny salaries in the US start around $90,000 a year for a standard full-time live-out role and can go up to $180,000 for senior, multilingual, traveling nanny, according to Morgan & Mallet’s 2025/26 Household Staff Salaries Annual Report.

What About the Legal Side?

Federally, private nannies are W-2 employees, which means FICA, FUTA, and a Schedule H at year end. 

The state regulations vary a lot. New York’s Domestic Workers’ Bill of Rights covers overtime, days off, and notice periods. 

California’s AB 241 covers meal breaks, daily rest, and overtime after 9 hours. Illinois passed its own Domestic Workers’ Bill of Rights in 2017.

What Happens If Something Goes Wrong?

Travels full-time with the family. Demand has grown a lot in the last few years. Most candidates are aged 30 to 45, native English speakers, with passports cleared for the family’s main routes. Rota nanny

Bilingual nanny

A bilingual nanny is a native speaker of one language, fluent in another, and uses both languages with the children every day so they grow up bilingual. French, Mandarin, and Spanish are the most requested.

Newborn care specialist

Families often hire a newborn care specialist to help with the first weeks after a baby is born. The role manages weaning and gets the baby into a routine that works for the household.

A private nanny looks after children in a private household. The role covers everything from morning waking and feeding to bedtime, with playtime, outings, and rest in between.

This is an example of a job description we would write for a high-net-worth family hiring a full-time, live-in private nanny for two young children, based in Los Angeles.

About the family

A high-net-worth family is hiring a private nanny for their two children, aged 2 and 5. The five-year-old started reception this year, so the role covers the school day for the older child and full-time care for the younger one.
 

Both parents work, and the nanny will often be fully in charge during weekdays.

The role is full-time and live-in. The household has a housekeeper but no other childcare staff.

Responsibilities

Daily care and routine

  • Manage the children’s daily care, including feeding, dressing, bathing, and bedtime
  • Do the school run for the older child and plan the day at home for the younger one
  • Plan and lead age-appropriate play, learning activities, and outings
  • Keep the children’s rooms tidy and their clothes washed and put away
  • Cook healthy meals and snacks following the parents’ dietary choices

Health, safety, and development

  • Watch for changes in mood, behaviour, sleep, or eating, and flag them to the parents early
  • Manage doctor and dentist appointments and follow through on any medical advice
  • Hold the boundaries and routines the parents have set
  • Keep the children safe at home, on outings, and around water (the home has a pool)

Family coordination

  • Work alongside the housekeeper well
  • Talk to both parents about the day’s events, the children’s mood, and anything worth knowing
  • Support the family during travel: packing for the children, helping them adjust to time zones, keeping routines as consistent as possible

Requirements

Essential

  • Minimum 5 years as a private nanny in HNW households, or equivalent experience in early years education with private families
  • Verifiable references from previous private families
  • Up-to-date paediatric first aid and CPR
  • Background check clearance
  • Strong swimmer and comfortable around water
  • Comfortable traveling internationally with the family for several weeks at a time

Personal qualities

  • Warm, patient, and genuinely good with young children
  • Discreet about what happens inside the family: what the children say, what the parents discuss, anything seen at home stays at home
  • Energetic enough to keep up with a 2-year-old, calm enough to settle a 5-year-old at bedtime
  • Comfortable with sole charge and able to make confident decisions when the parents aren’t around
  • Fluent English; a second language a strong plus, particularly French or Spanish

Work conditions

  • Full-time, live-in (private bedroom and bathroom in both the LA home
  • Five and a half days per week, with one full weekend off per month
  • Travel with the family on most trips, with travel pay during overseas stays
  • Health insurance, paid holiday, and use of a family vehicle for school runs

How long does it take to hire a nanny?
Three to six weeks for most placements. Specialist searches like newborn specialists, traveling nannies with rare language combinations, or special needs roles can take eight to twelve.
90-minute structured interviews, three reference calls minimum with previous employers, criminal background screening, five to seven years of verified employment history, pediatric first aid and CPR certification check, and right-to-work documentation.

Privately is cheaper upfront. It’s also where most of the bad placements happen. 

 

The most common issues we see from families who tried alone are wrong tax classification (1099 instead of W-2), no contract, no NDA, no replacement plan, and references that didn’t actually get checked.

Light housework related to the children, like tidying play areas and washing bottles, is normal. 

 

Other housework usually isn’t, and we don’t recommend mixing roles unless you’ve hired a nanny-housekeeper specifically.

About 60% of our US nanny placements are live-out. Live-in suits families with lots of travel, large estates, or kids who need a nanny on duty outside normal working hours.

Yes. About a third of our US nanny placements involve regular travel to a second or third home.
