Job description

We are seeking an experienced, highly organised and resourceful Personal Assistant / Medical Coordinator to support a private High-Net-Worth Individual based in Puerto Rico.

This is a unique opportunity to work closely with a private client who is managing a chronic illness and requires a trusted, discreet professional to coordinate medical care, manage administrative matters, and provide day-to-day personal assistance.

The position is fully remote, although occasional travel to Puerto Rico may be required from time to time. Candidates may be based anywhere, provided they are able to work U.S. Eastern Time business hours.

Responsibilities

  • Act as the client's primary representative when communicating with medical providers
  • Make and manage lengthy telephone calls with doctors, hospitals, pharmacies, laboratories and insurance providers
  • Coordinate medical appointments, testing, referrals and specialist consultations
  • Track appointments, referrals, prescriptions and follow-up actions
  • Keep the client informed of developments through clear written updates
  • Coordinate schedules and assist with general diary management
  • Provide day-to-day personal assistant support and administrative assistance
  • Liaise with the client's existing Chief of Staff, legal advisors and other professional service providers when required
  • Conduct online research and source information as requested
  • Assist with a variety of confidential administrative projects
  • Anticipate issues, identify solutions and proactively manage tasks with minimal supervision
  • Maintain strict confidentiality and discretion at all times

 

Communication Style

The client communicates primarily via written messages, particularly Telegram, rather than by telephone or video calls.

The successful candidate must therefore be comfortable:

  • Receiving instructions in writing
  • Working independently with minimal supervision
  • Acting as the client's voice when communicating with third parties
  • Providing regular written updates throughout the day

Requirements

  • Previous experience as a Personal Assistant, Executive Assistant, Medical Coordinator or similar role
  • Excellent spoken and written English
  • Exceptional organisational and time-management skills
  • Strong communication and interpersonal abilities
  • Highly resourceful, proactive and solutions-oriented
  • Comfortable managing multiple priorities simultaneously
  • Excellent attention to detail
  • Tech-savvy and confident using modern communication and productivity tools
  • Able to handle highly confidential and sensitive information with complete discretion
  • Strong professional references

 

Highly Desirable

  • Previous experience coordinating medical appointments or working within healthcare administration
  • Experience supporting High-Net-Worth or Ultra-High-Net-Worth individuals
  • Background in legal administration or accounting
  • Additional language skills

 

Work conditions

Schedule

  • Monday to Friday
  • Approximately 8:00/9:00 a.m. – 6:00 p.m. Eastern Time
  • Flexibility to assist outside standard business hours on occasion for urgent matters

 

Location

This is a remote position. Candidates do not need to be based in the United States or Puerto Rico; however, they must be available to work U.S. Eastern Time hours.

  • Occasional travel to Puerto Rico may be required.
