Job description

We are seeking a highly proactive Personal Assistant to oversee residential construction projects, manage household operations, and provide comprehensive personal support to the principals.

This is a full-time, position for a professional who operates independently, takes ownership of projects, and ensures seamless execution without constant direction.

The ideal candidate is experienced in private households, comfortable managing vendors and property-related matters, and capable of handling both administrative and hands-on coordination responsibilities.

Responsibilities

  • Oversee ongoing residential construction projects, including pool installation and home remodeling.
  • Act as on-site point of contact for contractors and service providers.
  • Monitor progress, timelines, and quality of work.
  • Ensure vendors arrive on schedule and deliver agreed-upon standards.
  • Follow up on project milestones and proactively resolve issues.
  • Remain present during key construction phases, particularly when principals are traveling.
  • Identify property-related needs and coordinate maintenance accordingly.
  • Ensure the home remains organized, functional, and well-maintained.
  • Coordinate household vendors and service appointments.
  • Manage grocery shopping and household supply procurement.
  • Oversee light household organization and laundry coordination.
  • Handle ordering of household items and necessary supplies.
  • Support logistical needs related to the property and daily operations.
  • Manage calendar scheduling and time coordination.
  • Handle personal logistics and task execution for the principals.
  • Coordinate vehicle storage logistics, including scheduling pick-up and drop-off.
  • Liaise with external professionals as needed.
  • Manage property-related financial tasks, including oversight of property taxes, utility payments, and recurring household expenses.
  • Utilize QuickBooks or similar systems for tracking and organization of financial records.
  • Handle communications and correspondence on behalf of the principals when required.
  • Operate with discretion and professionalism in all matters.
  • Oversee daily care and coordination for the family dog.
  • Schedule and manage veterinary appointments and pet-related services.
  • Ensure consistent pet care standards.

Requirements

  • Proven experience as a Personal Assistant, House Manager, or in a similar private household role.
  • Experience managing residential construction or remodeling projects.
  • Strong vendor management and coordination skills.
  • Financial organization skills, including familiarity with QuickBooks or similar systems.
  • Exceptional organizational and time-management abilities.
  • Self-directed, high-agency professional capable of working without supervision.
  • Tech-savvy and comfortable using digital tools and scheduling systems.
  • Strong problem-solving abilities and sound judgment.
  • Professional communication skills.
  • Must be comfortable overseeing construction environments.
  • Flexibility required during project phases and time-sensitive situations.

Work conditions

  • Position: Full-Time Personal Assistant
  • Location: Miami Beach, Florida
  • Schedule: Monday to Friday, 9:00 AM – 5:00 PM
