Job description

A private family is seeking a highly organised, discreet, and resourceful Personal Assistant /Household Manager to support their household in Palm Jumeirah, Dubai.

The immediate assignment is to support a UHNW Executive, with support for their office as needed.

The family recently relocated from Estonia and currently has a driver and a housemaid. The role will focus on managing the family’s day-to-day personal and household requirements, including schedules, appointments, errands, travel, children’s activities, pet arrangements, and household logistics.

The successful candidate will work closely with the existing household staff, proactively manage daily tasks, anticipate the family’s needs, and ensure the smooth running of the household with a high level of discretion and professionalism.

Responsibilities

  • Oversee and coordinate the child’s schedule, including extracurricular activities, school requirements, and play dates.
  • Manage vet appointments for the family dog and follow up on yearly vaccinations.
  • Manage the Principal’s personal appointments, reservations, and errands.
  • Manage a complex, frequently changing calendar across multiple time zones, proactively
    resolving conflicts and prioritising commitments.
  • Coordinate all travel arrangements (flights, visas, ground transport, itineraries) for the
    Principal and family, covering both business and personal travel.
  • Plan and coordinate family logistics and special occasions or events.
  • Coordinate with household staff, drivers, and property management across the Principal’s residences.
  • Arrange courier export and import shipments, as required.
  • Support with detailed expense tracking, invoice processing, and administrative recordkeeping
  • Ensure all documentation (e.g., passports, residency, education records) remains valid and
    up to date.
  • Liaise discreetly with international service providers, embassies, and medical and
    educational institutions.
  • Anticipate needs and proactively resolve issues before they require the Principal’s attention.
  • Monitor changing requests and quickly adjust plans as needed.
  • Always maintain absolute confidentiality.

Requirements

  • 3–5+ years of experience as a Personal Assistant, Lifestyle Manager, or in a Family Support role, within a family office, private client, or UHNW household context.
  • Based in Dubai, UAE
  • Fluent English (spoken and written); Russian a plus.
  • Impeccable discretion and a demonstrated ability to handle highly confidential and sensitive information.
  • Strong organisational skills with the ability to manage competing priorities under pressure.
  • Comfortable with flexible hours, including occasional evenings and weekends.
  • Proficient with standard office and scheduling tools (e.g. Outlook/Google Workspace).
  • Familiarity with AI tools a plus.
  • Valid driving licence a plus.

Work conditions

  • Employment Type: Full Time
  • Location: Palm Jumeirah, Dubai, UAE
  • Working Arrangement: Live-out
  • Working Schedule: 5 days per week, following regular working hours. Due to the nature
    of the role, the candidate should be open to working after hours should the need arise.
  • Travel: Only as required
  • Start Date: Immediate
  • Visa & Benefits: Visa sponsorship, medical insurance, and an annual flight ticket will be
    provided in accordance with UAE labour law.
