Job description

A prestigious holding company operating three specialised brands across oil shipping and logistics, oil commodity trading, and oil supply services, is seeking a highly experienced and exceptionally organised HR & Executive Assistant to join their Dubai office.

The company's three partners are based in Dubai and oversee a global workforce spanning four international offices, including operations in France and Denmark.

This is a senior, multifaceted role that sits at the heart of the organisation supporting the partners directly across all HR, administrative, contractual, and operational matters on a daily basis.

This is emphatically not an entry-level position. The successful candidate will be a polished, detail-oriented professional with a proven track record in a demanding corporate environment ideally with a background in law, banking, finance, or international business.

She will be someone who can be trusted to manage sensitive matters independently, anticipate the needs of the partners, and bring structure and precision to a complex, fast-moving international business.

The role is primarily Dubai-based, however occasional travel to France, Denmark, and other locations for meetings, events, and conferences may be required. Female candidates of European background are preferred. Candidates must already be based in the UAE.

Responsibilities

HR & Workforce Administration
  • Administer and oversee HR functions for the global workforce across all four international offices.
  • Manage employment contracts, renewals, amendments and terminations across multiple jurisdictions.
  • Maintain accurate and up-to-date personnel records and HR documentation for all staff globally.
  • Support recruitment processes drafting job descriptions, coordinating interviews and onboarding new hires.
  • Ensure compliance with local and international employment regulations across all office locations.
  • Manage leave, absence and HR policy implementation across the organisation.

 

Partner & Executive Support
  • Manage the daily schedules and calendars of the three Dubai-based partners with precision and discretion
  • Coordinate and prepare for all meetings, calls, events and conferences — both internal and external
  • Handle all travel planning and logistics for partners and staff — flights, hotels, visas, transfers and itineraries
  • Draft, review and manage correspondence, agreements, and documentation on behalf of the partners
  • Act as a central point of coordination between the Dubai office and the international teams.

 

Office & Operations Management
  • Oversee rental agreements and office-related administrative matters
  • Manage supplier relationships, service contracts and office requirements
  • Maintain an organised, efficient and well-run office environment
  • Support the coordination of cross-border operational matters across the three brands and four offices

Requirements

  • Minimum 5 years of experience in a senior HR, executive assistant, operations, or office management role.
  • Background in law, banking, finance or international business is a strong advantage.
  • Experienced in managing HR administration across multiple countries or jurisdictions is highly desirable.
  • Exceptionally detail-oriented, highly organised and able to manage multiple priorities simultaneously.
  • Discreet, professional and trustworthy comfortable handling sensitive and confidential information.
  • Strong written and verbal communication skills in English this is essential
  • Arabic language skills are a plus but not required.
  • Proficiency in French or Danish is an advantage given the company's office locations.
  • Confident working independently with minimal supervision and directly alongside senior leadership.
  • Comfortable with occasional international travel.
  • European background.
  • Must be currently based in the UAE.

Work conditions

  • Location: Dubai — Near Mall of the Emirates
  • Working Hours: 9:00 AM – 5:00 PM, Monday to Friday with flexibility
  • Travel:  Occasional international travel required
  • Start Date: As soon as possible
  • Candidates: Must be based in the UAE

Salary

20,000 – 30,000 AED/month
