Job description

A prestigious UHNW private estate in the San Francisco Bay Area is seeking an Assistant Facilities Manager to support the operation and maintenance of this exceptional property.

Reporting to Facilities/Residences management, this role ensures that all property systems, vendor relationships, and maintenance activities are managed to the highest standards.

This position offers a unique opportunity to work in a luxury residential environment where attention to detail, proactive problem-solving, and discretion are paramount.

The successful candidate will play a vital role in maintaining the estate's operational excellence and supporting the comfort and safety of the Principal, family, and guests.

Responsibilities

  • Conduct routine property inspections and proactively identify maintenance, repair, or safety needs
  • Support maintenance of residential systems including HVAC, electrical, plumbing, lighting, AV/network, pools/spas, and specialty systems
  • Track preventative maintenance schedules, service records, warranties, work orders, and outstanding issues
  • Coordinate and supervise vendors, contractors, and service providers to ensure timely and quality work completion
  • Assist with repairs, installations, renovations, and property projects, including tracking follow-ups and punch-list items
  • Support pre-arrival property readiness for the Principal, family, and guests
  • Maintain organized property documentation, maintenance supplies, tools, and equipment records
  • Respond promptly to urgent property issues and escalate appropriately
  • Provide flexible support to Facilities/Residences management, taking ownership of ad hoc projects and special requests with discretion
  • Coordinate closely with housekeeping, security, landscaping, and other household teams
  • Maintain strict discretion and confidentiality at all times

Requirements

  • Proven experience in luxury residential facilities, private estates, high-end property management, luxury hospitality or similar environments
  • Strong technical aptitude and working knowledge of residential building systems
  • Highly organized, proactive and detail-oriented, anticipating needs before they arise
  • Resourceful, able to troubleshoot problems effectively and coordinate vendors with ease
  • Thrives in fast-paced environments with changing priorities
  • Exceptional professionalism, reliability and discretion
  • Strong communication skills and good judgment, knowing when to resolve issues independently and when to escalate
  • Takes pride in maintaining impeccable standards
  • Understands the unique requirements of serving UHNW clients

Work conditions

  • Full-time position based at a private estate in the San Francisco Bay Area
  • Flexibility required to accommodate the dynamic needs of the property and the Principal's schedule, including occasional evenings, weekends and on-call availability for urgent matters
  • Competitive compensation commensurate with experience, plus benefits
  • Works closely with Facilities/Residences management and collaborates with household teams, including housekeeping, security and landscaping
  • The highest level of discretion, confidentiality and professionalism required at all times
  • Candidates must be legally authorized to work in the United States

Salary

$150,000 per year
