Job description

We are seeking a highly capable, discreet, and proactive Personal Assistant to the Principal.

The role is fast paced, detail oriented, and ever evolving, requiring someone who thrives in a dynamic environment and takes pride in flawless execution.

The Personal Assistant must have a service-mindset and will be responsible for managing day-to-day logistics, calendaring, errands, packing, and a wide range of personal and administrative tasks that arise on short notice.

This position is ideal for someone who is resourceful, organized, and comfortable operating with urgency, discretion, and flexibility. Some evenings and weekends will require on-call availability to support travel, events, and time sensitive needs.

Responsibilities

  • Manage and maintain complex calendars, scheduling appointments, meetings, and travel related logistics.
  • Execute daily tasks and last-minute requests with speed, accuracy, and discretion.
  • Execute running errands, purchasing gifts & supplies, and making deliveries to local businesses and residences.
  • Assist with packing, wardrobe coordination, and travel preparation.
  • Support airport and private aircraft logistics, including keeping plane stocked and running luggage or supplies to the plane as needed.
  • Liaise with household staff, vendors, and service providers as requested by the Chief of Staff.
  • Assist the Chief of Staff on execution of logistics for hosted events.
  • Maintain organization of personal items, supplies, and essential documents.
  • Provide general administrative and personal support to Chief of Staff as needed.
  • Be available on rotation with the Chief of Staff for after hours and weekend support of the Principal.
  • Maintain clear communication and proactive problem-solving across all properties.
  • The utmost confidentiality and discretion is always required.
  • Reliability, responsiveness, and the ability to meet the immediate needs of the Principal is critical for success in this role.
  • Creating and maintaining SOPs with COS that enable swift and coordinated execution across all related needs.

Requirements

  • Minimum 10-12 years’ experience in a high-demand personal assistant role.
  • Exceptional organizational skills and attention to detail.
  • Disciplined approach to following instructions, checklists, and other procedures.
  • Ability to anticipate needs and act proactively.
  • Strong communication skills.
  • Calm, solutions-oriented mindset.
  • Impeccable discretion, judgement and professionalism.
  • Flexible and able to handle after-hours or weekend needs as required (non-negotiable).
  • Valid driver’s license & insurance and a reliable vehicle; willingness to run errands on demand as needed.

Work conditions

  • Position: Senior Personal Assistant
  • Location: Dallas, Texas

Salary

USD 100,000 – 130,000 gross per year, depending on experience and qualifications.
