Pro-active and professional Private Personal Assistant is required for a permanent position to provide administrative support for a busy HNW executive and family based in Central London, UK.
This is an office based live-out position, ideally the candidate should be based within 30 mins travel to Central London.

Vacancy duties and responsibilities
• Managing diaries and organising meetings and appointments. Control access to the Principals as appropriate.
• Booking and arranging travel, transport and accommodation.
• Organising events and conferences.
• Project Management
• Negotiation – Domestic contracts, selection of new staff.
• Aware of domestic protocol – managing domestic staff/security contractors.
• On call 24/7, however sensible hours normally, potentially a bit of overseas travel
• Acting as a first point of contact for Principals as delegated: dealing with correspondence and phone calls.
• Reminding, prompting and progress chasing the Principals on important tasks and deadlines, with diplomacy and tact.
• Compiling and preparing reports, presentations and correspondence.
• Managing databases and filing systems as appropriate.
• Implementing and maintaining procedures/administrative systems as appropriate.
• Liaising with staff, suppliers and clients.
• Collating, processing, tracking and filing expenses.
• Conducting research on behalf of the Principals as required.
• Organising the Principals personal commitments including travel or childcare.
• Running errands to support the Principals on administration issues e.g. Visa Collection, Collection of sensitive parcels.
• Preparing for Principals travel and ensuring residence/s are ready for occupancy, maintained appropriately.

Profile requirement
- Previous experience supporting UHNWI/ working in a family office - 5+ years experience in similar role
- Fluent English, Spanish will be a plus
- College educated, good IT skills – MS Word, Outlook, Excel (These may be tested at interview)
- No reference issues or bad credit history (Mandatory and detailed background checks)
- Well presented and articulate
- Resilient/ Naturally two steps ahead of events
- Pro-active diary management between principals
- Ability to juggle a busy and forever changing workload.
- Ability to be 1x step ahead at all times– planning and scheduling, foreseeing clashes etc.
- Excellent communication and organisation
- Cyber aware, diligent in use of IT from Phishing and Social Engineering attacks

Job Condition
Schedule: Ideal candidate needs to be flexible and available out of hours. Not necessarily 24/7 but there will be weekend contact.
Personal Assistant Salary
