Full Time PA/House Manager Job Offer in Montreal, Canada
Our client is seeking an experienced PA/House Manager who will oversee the day-to day operations of the CEO in her Montreal residence, Canada.
The candidate will be hands on, a good all-rounder, responsible for all the details of the home.
The home has appropriate housekeeping staff.
The successful candidate will be one that thrives in an environment with defined processes and standards. They will enjoy maintaining and developing the manuals and checklists that support a well-organised home. The position requires a high energy individual with an excellent work ethic and a sense of pride in work well done.
The position is live out, accommodation is not provided.
This is a permanent full-time position starting as soon as possible.

Vacancy duties and responsibilities
- Managing schedules and appointments.
- Organizing and maintaining the employer's calendar
- Scheduling meetings and coordinating events.
- Travel arrangements - booking flights, accommodation, transportation and Creating itineraries for business and personal trips.
- Correspondence and communication.
- Drafting emails answering / screening calls on behalf of the employer.
- Information management.
- Conducting research, gathering information, preparing reports / presentations as required.
- Cleaning and organising.
- Overseeing the cleanliness and organisation of the household, including managing cleaning schedules, tidying up and supervising housekeeping staff if applicable.
- Meal planning and preparation.
- Assisting with meal planning, grocery shopping and preparing meals based on dietary preferences or restrictions.
- Coordinating repairs and maintenance tasks, such as scheduling appointments with service providers and overseeing necessary repairs.
- Running various errands, such as picking up dry cleaning, shopping for household supplies and managing deliveries.
- Financial management.
- Assisting with bill payments, budgeting and expense tracking / coordinating with banks, accounts, if required.
- Record keeping.
- Maintaining important documents, invoices and receipts in an organized manner.
- Office Management.
- Setting up and managing a home office, including organizing files, supplies and equipment as well as handling mail and packages.
- Assisting with appointments, medical, dental etc.
- Family support.
- Assisting with childcare, school runs, arranging appointments, coordinating schedules and overseeing activities.
Profile requirement
- Minimum 5 years previous experience working in a formal residence in a management role.
- English spoken/French added bonus.
- Driving Licence
- DBS checked. (Child in house)
- Valid driver’s license and passport
- Able to be hands on with all housekeeping roles if required.
- Other duties as required.
- Excellent communication skills, ability to understand the importance of knowledge sharing and consistent reporting.
- Thorough knowledge of household technology and mechanical systems
- Energetic problem solving with the ability to take the initiative.
- Effective time management with strong execution and completion strategies
- Polished, professional, and respectful; a quiet presence in the household
- Highly discreet in preserving the confidentiality and privacy of the family.
Job Condition
- Regular workdays are Monday to Friday, but flexibility is required for occasional weekends.
- Travel occasionally to the USA
- Contract type : permanent full time
