Job description

We are seeking a highly organized, proactive Personal Assistant to support a busy family in NYC.

The ideal candidate will be an experienced professional with excellent communication and interpersonal skills, with the ability to anticipate needs and manage a demanding schedule in a fast-paced environment.

Principal is retired so the needs will not be as much as when he was working full time.

Should be able to work from home office or remote as needed. Residences in NYC, Southampton and Palm Beach.

Responsibilities

  • Calendar Management:

Manage complex schedules, emails, including appointments, travel arrangements, and social engagements.

Coordinate travel logistics, including booking flights, accommodation, and transportation.

Prepare travel itineraries and assist with packing.

  • Communication:

Screen direct phone calls, emails and arrange video calls.

Compose and respond to correspondence as needed in addition to daily meetings confirmations on Outlook calendar management.

Manage contacts and maintain an organized filing system.

  • Personal Assistance:

Assist with wardrobe management and personal errands.

Coordinate household services, such as maintenance and repairs.

Assist household staff, contractors, vendors and service providers.

Assist with event planning and entertaining guests.

  • Confidential Matters:

Maintain strict confidentiality regarding all personal and professional matters.

Requirements

  • Minimum of four years of experience as a Personal Assistant or in a similar administrative role.
  • Proven experience managing complex schedules and travel arrangements.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficient in Google Suite and other relevant software.
  • Discretion and confidentiality are paramount.
  • Ability to work independently and as part of a team.
  • Flexibility to work varying hours, including some evenings and weekends.

Work conditions

  • Experience working in a high-net-worth household.
  • Knowledge of event planning and etiquette.
  • Resourceful to own and solve problems.
  • Part time position, long term.
  • Work schedule: Part time, (up to 20 hours a week) must be flexible some evenings and weekends. 
  • Hourly rate: $30- $45/hour, depends on experience.
