Job description

Our valued repeat client is seeking a dedicated and organized House Manager/Personal Assistant to join their team and oversee the smooth operation of a luxurious UHNW family estate in Lagos, Portugal. The estate consists of a main house, a guest house, an apartment for staff, and various amenities. This role requires a candidate with previous experience in HNW households, who is a hard-working, self-motivated individual with exceptional organizational skills. Proficiency in both Portuguese and English is a must, and fluency in Spanish would be a valuable addition. This is a permanent full-time position, and the successful candidate will be able to start as soon as possible.

Responsibilities

​Oversee various projects on the estate, ensuring timely and high-quality completion. Coordinate with contractors and suppliers to meet project deadlines and budget requirements.​​ Manage the day-to-day operations of the property, including the main house, guest house, and staff apartment. Ensure that all facilities are maintained to the highest standards. Maintain detailed records of household inventories, including valuable assets, art collections, and antiques. Keep track of stock levels and coordinate restocking as needed. Manage and supervise the team of chefs, nannies, PAs, housekeepers, and handyperson. Ensure seamless coordination of services to meet the family's needs. Provide leadership and guidance to the household staff, fostering a harmonious and efficient work environment. Offer training and coaching to enhance the team's performance. Plan and execute special events and gatherings on the estate. Coordinate logistics, including catering, decorations, and guest arrangements.​ Be hands-on when required, especially when the housekeeper or handyperson is on time off. Coordinate daily activities to ensure the household operates smoothly. Assist in household organization and the establishment of new household routines. Act as the main point of contact for contractors and maintenance personnel. Develop house manuals and spreadsheets to facilitate efficient processes and orders. Oversee household purchases, manage bills, and administer accounts. Schedule and supervise home and vehicle maintenance to ensure their optimal condition. Attend to principal's phone calls and assist in scheduling appointments. Handle various administrative tasks, including printouts and errands. ​​

Requirements

​Eligibility to work and reside in Portugal or the EU. Proficiency in both Portuguese and English (knowledge of Spanish is a plus). Previous experience in managing high-net-worth households is essential. Exceptional organizational skills and the ability to multitask effectively. A calm demeanor and the ability to handle high-pressure situations with grace. ​​​​

Work conditions

Working days: 5 days on, 2 days off per week. Flexibility required when the family is in residence (approximately 50% of the time). Significant downtime when the family is away traveling.​​ Accommodation provided in a shared staff apartment (with a separate bedroom and bathroom). Meals provided while on duty. 1 month paid vacation ​​
