Project Manager & Events Planner Job
HNW Client residing in Riyadh, Saudi Arabia is looking for a trustworthy and reliable in house Events Planner & Project Manager to work in the family office and support the principal in the organisation and management of private and corporate events & affairs.
The candidate is expected to perform his/her duties in a very professional manner and on a high level.
A high level of education and experience is required to fulfil the duties and responsibilities of this exciting occupation. With events planning and project management experience in corporate and five star hospitality environments a priority, the candidate will be evaluated on a portfolio of previous projects and events managed with references for each.
Requirements
- Experience in similar positions for private clients
- Experience in similar position for corporate clients
- Experience in similar position within five star hospitality environment
- At least five years' relevant experience
- Certificate in secretarial studies, business, administration or management would be a plus
- Fluent English, other European languages would be a plus
- Understanding of and adherence to client's principles and needs
- Problem solving skills, mentioned in written references.
- Excellent written and oral communication skills
- Knowledge of software packages and budgeting tools
- Excellent organisational and time management skills
- Excellent interpersonal skills and third party supply relationships

Duties and responsibilities
- Planning of private and business travel (book tickets, transport)
- Liaising with high profile acquaintances, suppliers and both domestic and family office staff
- Arranging meetings, confirmations and planning
- Planning of various private and business events
- Diary and schedule management
- Correspondence management
- Designing documents, presentations and reports
- Travelling with the client to provide assistance during meetings
- Running errands
- Budget calculations & projections
- Food ordering & menu creation in relation to the brief given
- Venue securing & décor & preparation
- Third party supply list & account management
- Event co-ordination during the event
- Coordinate with vendors, exhibitors, speakers and stakeholders
- Create and distribute event listing pages, social media and websites
- Manage event set up, tear down and follow-ups
- Establish standardized event procedures and training of staff into properly executing them
- Build and adhere to an event budget to avoid project overruns
- Track event key performance areas and identify items to work on for future events
Schedule
- Sunday – Friday (occasionally weekends, when required)
- 9:00am – 18:00pm
- Paid holiday is provided
Contract
Permanent position, with a trial period of 1 month
Salary
High salary + bonuses depending on the candidate’s profile
Accommodation
- This is a live out or live in position (small furnished house for personnel with all needed equipment is provided)
- Accommodation in hotels is provided while travelling
